Human Resource Generalist – Executive Assistant
The Human Resources Generalist - Executive Assistant is responsible for a wide range of human resources and administrative duties necessary for the District operations, including but not limited to, day-to-day administration of the front office, personnel records management and hiring practices.
ESSENTIAL FUNCTIONS
- Follows the Mission, Values and Department expectations.
- Greets the public including directing inquiries and visitors to the appropriate personnel. Answers phones regularly to provide prompt service to our customers.
- Assists Human Resources Director with benefit administration, employee relations and labor laws and regulations.
- Recruitment support – assists with job postings, screening applications, coordinating interviews, and managing the onboarding process for new hires.
- Onboarding support - implements employee on-boarding and off boarding and assisting with orientation process, including but not limited to verifying employment eligibility, preparing paperwork, and data entry into the Districts records management system.
- Assists in payroll processing and compensation-related tasks.
- Successfully completes special projects, as required, involving a high degree of administrative skills.
- Provides administrative support to the department, specifically the Executive team.
- Maintains calendars and has the ability to schedule events among multiple people.
- Receives incoming communication on behalf of Executive team, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Assists in the preparation, organization, copying and distribution of materials for the Volunteer Pension Board and the District Board members for all regular and special meetings, and study sessions. Assists the Fire Chief in preparing, meeting agenda, Chief’s Report, action summaries, resolutions, and other documents and materials necessary and appropriate for efficient and effective Board meetings.
- Serves as the Designated Election Official for all District elections, which includes preparing and filing all election related documents, and meeting all statutory deadlines for conducting each election. Attends Special Districts Election Workshops to maintain current information regarding elections.
- Prepares, and timely posts and/or publishes, all legal and public notices, including legal and public notices required by the Division of Local Government, the Special District Act, and other State statutes.
- Responds to and assists to all Open Records Requests in compliance with Colorado law.
- Performs other duties and/or tasks assigned by the Executive Team from time to time.
QUALIFICATIONS
- High School Diploma or General Equivalency Diploma (GED)
- 3-5 years of administrative secretarial experience showing increasing levels of responsibility, or an equivalent combination of education and experience
- Previous HR experience preferred, but not required
COMPENSATION
This position is an hourly, non-exempt (benefited), full-time position. This is a 40-hour (regularly M-F) schedule based upon the needs of the department. Hourly rate will be $27.88 per hour; depending on job experience and qualifications.
